Employee Code of Conduct Policy
1. Purpose:
The purpose of this policy is to define the ethical standards and professional behavior expected from employees, ensuring a harmonious, productive, and respectful workplace.
2. Scope:
This policy applies to all employees of Sunbeam Elastomers Pvt. Ltd., including permanent, probationary, contractual, and temporary staff.
3. Objectives:
Define Acceptable Behaviors:
a. To outline acceptable behaviors and responsibilities of employees.
b. To ensure compliance with legal, ethical, and organizational standards.
c. To foster an environment of respect, integrity, and professionalism.
4. Policy Guidelines:
Professional Behavior:
a. Employees must conduct themselves with honesty, fairness, and respect towards colleagues, clients, vendors, and stakeholders.
b. Employees should act in the best interest of the company and avoid any actions that may harm its reputation or operations.
Confidentiality:
a. Employees must protect company confidential information, including trade secrets, financial data, and client details.
b. Unauthorized sharing or misuse of sensitive information will result in disciplinary action.
Conflict of Interest:
a. Employees must disclose any personal, financial, or business relationships that could create a conflict of interest.
b. Employees should not engage in activities that compete with or compromise the interests of the company.
Use of Company Resources:
a. Company property, including IT systems, equipment, and funds, must be used responsibly and for official purposes only.
b. Employees are prohibited from using company resources for personal gain or illegal activities.
Compliance with Laws and Policies:
a. Employees must adhere to all applicable laws, regulations, and company policies.
b. Employees are expected to participate in mandatory training sessions to stay updated on relevant legal and regulatory requirements.
Workplace Conduct:
a. Discrimination, harassment, or any form of disrespectful behavior is strictly prohibited.
b. Employees must maintain a professional demeanor and resolve conflicts amicably.
Attendance and Punctuality:
a. Employees must adhere to their work schedules and report absences or delays to their supervisors promptly.
b. Chronic absenteeism or tardiness may lead to disciplinary action.
5. Roles and Responsibilities:
Employees:
a. Read, understand, and comply with the Code of Conduct Policy.
b. Report any violations or unethical behavior to the HR Department.
Supervisors/Managers:
a. Ensure team members adhere to the Code of Conduct.
b. Address and resolve complaints or violations in a timely and fair manner.
HR Department:
a. Conduct training and awareness sessions on the Code of Conduct.
b. Investigate reported violations and recommend corrective actions.
6. Disciplinary Actions:
Violations of the Code of Conduct will result in disciplinary measures, which may include:
- i) Verbal or written warnings.
- ii) Suspension or termination of employment.
- iii) Legal action, if warranted.
iv) Severity of the action will depend on the nature and frequency of the violation.
7. Reporting Violations:
Employees are encouraged to report violations or unethical behavior through:
- i) HR email: hr@sunbeamelastomers.com
- ii) Confidential grievance channels or whistleblower mechanisms.
iii) Reports will be investigated promptly, and confidentiality will be maintained.
8. Review and Amendments:
a. This policy will be reviewed annually to ensure alignment with organizational goals and legal requirements.
b. Amendments will be approved by the Board of Directors.

This Employee Code of Conduct Policy has been approved by the Board of Directors of Sunbeam Elastomers Pvt. Ltd. on 1st January 2025.
