1. Purpose:
The purpose of this policy is to provide guidelines for employees on the responsible use of social media platforms, ensuring that their activities align with the company’s values, reputation, and confidentiality requirements.
2. Scope:
This policy applies to all employees, contractors, and third parties representing Sunbeam Elastomers Pvt. Ltd. It covers personal and professional use of social media platforms such as LinkedIn, Twitter, Facebook, Instagram, YouTube, and others.
3. Objectives:
- (a) To protect the company’s reputation and brand image on social media.
- (b) To promote constructive and responsible social media engagement.
- (c) To ensure compliance with legal and ethical standards in social media usage.
4. Policy Guidelines:
Personal Social Media Use:
(a) Employees must not post defamatory, offensive, or discriminatory content about the company, colleagues, clients, or stakeholders.
(b) Any personal opinions expressed on social media must include a disclaimer, such as:
“The views expressed are my own and do not represent those of my employer.”
Professional Social Media Use:
- (a) Employees authorized to manage the company’s official social media accounts must ensure content is accurate, professional, and aligned with brand guidelines.
- (b) Social media interactions with customers, vendors, or stakeholders must be respectful and constructive.
- (c) Only designated employees are permitted to respond to queries or comments made on official social media accounts.
Confidentiality and Data Protection:
- (a) Employees must not disclose confidential company information, such as financial data, business strategies, or client details, on social media.
- (b) Sharing internal documents, images, or communications without prior approval is prohibited.
Use of Company Resources:
- (a) Employees must not use company-provided devices or networks for excessive personal social media activity during work hours.
- (b) Any use of company branding, logos, or intellectual property on social media must be pre-approved by the Marketing Department.
Content Sharing Guidelines:
- (a) Employees are encouraged to share official company posts to promote brand awareness, provided the content is unaltered.
- (b) Avoid engaging in debates or arguments on controversial topics that could reflect poorly on the company.
5. Roles and Responsibilities:
Employees:
- (a) Adhere to the policy guidelines and use social media responsibly.
- (b) Report any incidents of brand misuse or inappropriate content related to the company.
Marketing Department:
- (a) Manage and oversee official social media accounts.
- (b) Create and implement social media strategies aligned with company goals.
- (c) Monitor social media platforms for any issues impacting the company’s reputation.
HR Department:
- (a) Address violations of the social media policy and take appropriate disciplinary action.
- (b) Provide training on responsible social media use during employee onboarding.
6. Key Provisions:
Zero Tolerance for Misconduct:
Misuse of social media, including sharing inappropriate or harmful content, will result in disciplinary action, up to termination.
Compliance:
Employees must comply with applicable laws and regulations, including copyright, data protection, and anti-discrimination laws.
Prohibited Activities:
Harassment, hate speech, or any form of bullying on social media is strictly prohibited.
7. Monitoring and Reporting:
- (a) The Marketing Department will monitor official accounts for compliance and engagement.
- (b) Employees are encouraged to report any instances of brand misuse, harassment, or policy violations to the HR Department.
8. Review and Amendments:
This policy will be reviewed annually or as required by changes in social media trends, technologies, or regulations. Amendments will be approved by the Board of Directors.
