Grievance Redressal Policy

1. Purpose:

The purpose of this policy is to provide a transparent, fair, and efficient process for addressing employee grievances, ensuring a harmonious and productive work environment.

2. Scope:

This policy applies to all employees (permanent, probationary, contractual, and temporary) of Sunbeam Elastomers Pvt. Ltd. and covers grievances related to:

  • a) Workplace conditions.
  • b) Interpersonal conflicts.
  • c) Employment terms and conditions.
  • d) Discrimination, harassment, or unfair treatment.

3. Objectives:

  • a) To provide employees with a structured mechanism to raise concerns.
  • b) To ensure timely and impartial resolution of grievances.
  • c) To foster a positive and inclusive workplace culture.

4. Policy Guidelines:

Definition of Grievance:

A grievance is any dissatisfaction or concern raised by an employee regarding workplace issues that impact their job performance or work environment.

Grievance Redressal Process:

Step 1: Informal Resolution

  • a) Employees are encouraged to resolve minor grievances informally by discussing them directly with the person(s) involved or their immediate supervisor.
  • b) If the grievance is not resolved satisfactorily, the employee may escalate it to formal resolution.

Step 2: Formal Resolution

1. Submission of Grievance:

  • a) Grievances must be submitted in writing to the HR Department using the Grievance Form or for official HR Email.
  • b) The form should include the details of the issue, individuals involved, and any supporting evidence.

2. Acknowledgment:

  • a) The HR Department will acknowledge receipt of the grievance within 2 working days.

3. Investigation:

The HR team or a designated grievance committee will investigate the issue, which may involve:

  • a) Reviewing evidence.
  • b) Conducting interviews with the complainant, respondent, and witnesses.

4. Resolution and Action:

  • a) Based on the investigation, the grievance committee will recommend actions to resolve the issue.
  • b) Resolutions may include mediation, disciplinary actions, or changes in policies/procedures.
  • c) The complainant will be informed of the outcome within 5 working days after the resolution.

5. Roles and Responsibilities:

HR Department:

  • 1. Act as the primary point of contact for grievance submissions.
  • 2. Ensure the grievance process is conducted impartially and confidentially.
  • 3. Maintain records of all grievances and their resolutions.

Grievance Committee:

  • 1. Investigate grievances thoroughly and recommend appropriate actions.
  • 2. Ensure compliance with company policies and legal frameworks.

Employees:

  • 1. Raise grievances in a timely and honest manner.
  • 2. Cooperate fully during the investigation process.

Supervisors/Managers:

  • 1. Address grievances at an informal level when possible.
  • 2. Ensure employees are aware of the grievance policy and process.

6. Confidentiality:

  • a) All grievance-related discussions and documents will remain confidential.
  • b) Information will only be shared with individuals directly involved in the resolution process.

7. Retaliation Prohibition:

Employees raising grievances in good faith will be protected from any form of retaliation. Any retaliation will result in disciplinary action.

8. Key Provisions:

  • 1. False Grievances:

Deliberately false or malicious grievances will lead to disciplinary action against the complainant.

  • 2. Resolution and Action:

In such cases, grievances should be submitted directly to the CEO or Board of Directors.

  • 3. Follow-Up:

HR will conduct a follow-up to ensure the resolution is implemented effectively and that no further issues arise.

9. Monitoring and Reporting:

  • a) The HR Department will maintain a grievance log for monitoring patterns and recurring issues.
  • b) A quarterly report on grievances and resolutions will be submitted to the management.

10. Review and Amendments:

This policy will be reviewed annually to incorporate changes based on feedback and legal updates. Amendments will be approved by the Board of Directors.

This Grievance Redressal Policy has been approved by the Board of Directors of Sunbeam Elastomers Pvt. Ltd. on 1st January 2025.
